About the Role
The Front Desk and Operations Assistant is responsible for managing reception duties, overseeing daily operations of the gym and cafe areas, handling financial tasks, and ensuring excellent customer service. This role involves maintaining operational standards, ensuring accuracy in financial processes, and maintaining professional communication with members.
Requirements
Key Responsibilities:
Reception and Customer Service
Sign in at the start of the shift and ensure the front desk is always manned; coordinate staff coverage when stepping away.
Attend to gym queries professionally, including personal training requests, and note all inquiries for senior management approval.
For Female Trainer Requests, confirm with management before assigning trainers. Set clear expectations with members, informing them of a 1-day confirmation period to ensure quality service.
Maintain a professional demeanor with customers, ensuring all interactions are polite, formal, and respectful.
Avoid casual, playful, or overly familiar behavior that could be perceived as unprofessional.
Facility Oversight
Perform pre-shift checks of the cafe and gym floors for any issues.
Conduct hourly checks of all gym floors to identify and resolve problems promptly.
Ensure chairs and tables in the cafe are arranged properly during and before closing.
Assist cleaning staff where necessary to ensure a smooth closing process.
Financial and Accounting Duties
Verify counter cash handover with Morning Staffs, identifying and resolving any discrepancies.
Update payments as they are received and record transactions in the accounting software, including QuickBooks for monthly GST returns.
Maintain and monitor the Petty Cash File, ensuring all payments have vouchers with special codes assigned from the Petty Cash Master Sheet.
Ensure every transaction, whether by cash or transfer, has an invoice addressed to Riyaz and Sons Pvt Ltd. Follow up with payees for missing invoices.
Perform daily stock counts of all items, including capsules, water, and other requested items. Identify discrepancies and update sales records accordingly.
Hand over cash sales to Ryaash and ensure all records tally between the accounting software and physical sheets.
Hygiene and Cafe Management
Check that all plates and glasses in the cafe are clean; wash and dry items as orders are completed.
Ensure plates and glasses are never left in the sink and maintain hygiene standards at all times.
Monitor stock levels and update management if any items are running low to avoid shortages.
Professional Conduct
Limit video calls and personal cafe breaks during work hours to focus on tasks and maintain professional standards.
Uphold a professional distance with members and colleagues to reflect a polished and responsible image.
Ensure all communication remains professional, avoiding any behavior that could be interpreted as flirtatious, overly casual, or intrusive.
